INVENTORY FREEBIES
  Manage your give-aways!

We've received many queries from clients asking how to manage inventory give-aways in QuickBooks. Some clients are sending products as samples to potential customers, others are sending products for review or analysis, and some are giving products away to charitable organizations.

There are two ways to track inventory freebies, and each method produces a different set of postings. You should use the method that suits your needs.

The two methods are:

  • Use a sales transaction, entering a sales price of $0.00.
  • Use an inventory adjustment, using the appropriate account as the inventory adjustment account.

    Users of mid-market accounting software frequently underutilize their apps. Here are some tricks and tips straight from the vendors.

    (May 1, 2007) - Even among those seasoned in using well-established apps it's estimated that typical users are utilizing only some 10 percent of their productivity tools, including their accounting software.

      Changes for the 2007 W-2 Form

    The SSA recently announced changes for the 2007 W- 2 form! The SSN is being moved to the top of the form due to complaints that in the current form, where the number is underneath the name/address window in the envelope, it was sometimes visible!

    What this means for YOU is - if you do your payroll thru your accounting software, be sure to pay attention to the software updates at the end of the year, which will install the form changes in your software!

    Did you know that pressing the ALT key with the first letter of any QB Menu (ie: ALT + L for the Lists menu) will drop down the menu!?!

    Then typing the first letter of any choice on the menu will launch the task. (ie: I for the Item List!)

    So, to open the Item List you would type: ALT + L and then I.

    IRS WARNS OF E-MAIL SCAMS
      Subject to Criminal Investigation

    The IRS is warning people of an e-mail scam that warns people that they are under criminal investigation for submitting a false tax return to the California Franchise Tax Board. The mail asks that the recipient click a link or open an attachment to learn more information about the complaint against them.

    Similar e-mail variations allege that a customer has filed a complaint against a company and that the IRS can act as an arbitrator. Newer versions are aimed at both business and individual taxpayers.

    The IRS does not send out unsolicited e-mails or ask for personal and financial information, nor does it EVER ask for PIN numbers, passwords or similar secret access information for their credit cards or bank accounts.

    If you believe you have received one of these e-mails, DO NOT open any attachments or click any links contained in it. Forward the e-mail to the IRS's phishing division at phishing@irs.gov

    TIP'S & TRICKS
      Defragmenting the Company File can Improve Performance

    Like all data files, your QuickBooks company file becomes fragmented as it's opened, added to, and saved.

    You can see the number of fragments in your company file by pressing F2 while the file is loaded in QuickBooks. In the Product Information window that opens, look for the entry named DB File Fragments (on the left side of the middle of the window).

    If the number exceeds 20, you should consider defragmenting the drive. If the number exceeds 70 you should definitely defragment the drive. (Obviously if you're on a network, it's the drive on the computer that's hosting the file that needs to be defragged.) There's no way to defragment only the company file, you have to defrag the whole drive, which should also speed up loading data files in other software!
